privacy notice.
Who handles your information
The Sage Dad LLC, trading as PennedCanon, at 176 Thatchers Hill Road, Flemington, NJ 08822, will administer applications for the Founding 100 Writers’ Club. Contact Rob Wescott at [email protected] for application, refund or privacy questions. Effective date: November 5, 2026.
What we ask for and why
We collect your name, email, country, time zone and confirmation that you meet the age and residency requirements to contact you, check eligibility and plan participation. We do not need your date of birth or identity documents.
We ask about your project type, stage, purpose, goals, obstacles, next steps, hopes for AI, feedback preferences, possible contributions and availability. Rob uses these answers to assess fit, seek clarification and plan the proposed workshop. Beginners are welcome. Describe your goals generally; do not include manuscripts, confidential ideas, medical details, traumatic experiences or private information about others. You do not need to explain personal circumstances behind limited availability.
We record your application status, brief review notes, waitlist order, relevant correspondence and the dated terms you accept. Your nonbinding purchase-intent answer helps assess demand. An optional request for recruitment materials is used only to send those materials; it does not affect admission or priority. Sharing and referrals are not admission criteria.
If you pay, Stripe handles payment credentials. PennedCanon retains the transaction reference, amount, status, refund records and consent records needed to administer the payment. Do not send card or banking details by email. Card details are entered in Stripe-hosted checkout, not in the writing-goals form.
Who can access it
Rob is the sole application reviewer initially. We do not use AI to analyze, rank or score application answers. Specifically authorized service providers may have access when necessary for hosting, administration, email delivery, payment handling or technical support. Applications are not shared with other applicants or club members.
Applications are stored in a separate database on PennedCanon’s existing self-hosted server, administered by The Sage Dad LLC. Cloudflare provides network delivery and security. Resend delivers application emails; Stripe hosts checkout and processes payments. Provider processing may take place in the United States and other countries described in their policies: Cloudflare, Resend, and Stripe. Writing-goal answers are not included in payment metadata or notification emails. We do not sell application answers or provide them for third-party advertising. We may disclose information where legally required or reasonably necessary to address fraud, security incidents or legal claims.
Website analytics
The Writers’ Club application pages do not load PostHog, advertising pixels or session replay. Application answers and payment details are excluded from website analytics. Necessary server security controls use short-lived, salted request counters; service logs omit request bodies and raw IP addresses. Other PennedCanon pages have their own analytics choices and privacy information. Stripe and Resend process technical information needed to operate their services under their own policies.
Communications and your choices
We send necessary application decisions, clarification requests, campaign-status updates, waitlist invitations, payment information and refund communications. These are separate from optional broader PennedCanon marketing, which requires its own unchecked opt-in. You may withdraw your application or leave the waitlist by emailing us. You can unsubscribe from optional marketing without affecting your application.
Asking for recruitment materials does not enroll you in a general marketing list. We will not publish your name, application or writing goals as a testimonial without separate permission.
How long we keep information
We separate writing-related application answers from the limited records needed to document transactions and agreements. Application closure means the date a rejection or withdrawal takes effect; campaign closure means the date recruitment and any defined funding-completion period have ended or been cancelled.
- Rejected or withdrawn applications: delete substantive answers and internal fit-review notes within 90 days after the individual application closes. Separate transaction and refund records follow their own schedule.
- Free waitlist applications that never activate: delete answers and waitlist records within 90 days after the campaign closes. Joining the waitlist does not enroll you in marketing.
- Accepted applicants when the campaign does not launch: delete substantive answers and review notes within 90 days after refunds are completed. Keep only the separate transaction and agreement records still needed.
- Members who join: retain application answers only while useful for onboarding or membership administration, no later than 90 days after the founding membership year ends; delete sooner when no longer needed.
- Payment, refund and terms-acceptance records: The planned retention period is seven years after the relevant transaction or the end of membership, whichever is later (the transaction date applies where there is no membership). Records are limited to necessary transaction references, amounts, dates, accepted terms versions and consent evidence; they do not include full writing-goal answers or card information.
- Routine application correspondence: delete within 12 months after the application closes. Messages necessary to document a transaction, agreement or dispute are separated and retained under the relevant records schedule.
- Optional marketing: retain until you unsubscribe, or for up to 24 months without meaningful engagement. At that point we will unsubscribe you or request renewed interest; without an affirmative response, we will stop marketing. Keep a minimal suppression record where needed to respect your opt-out.
Backups: our application database has restricted-access daily backups on the same server, rotated after 30 days. These recovery copies do not guarantee against loss of the server. Deleted application information can remain in backups until rotation; recorded deletions must be reapplied if a backup is restored. Stripe and Resend maintain their own records under their provider policies.
Legal preservation: where an actual dispute or legal obligation requires preservation, retain only relevant records until that matter and the applicable preservation obligation end. Restrict access and resume normal deletion afterward.
Privacy requests and safeguards
Email [email protected] to request access to, correction of or deletion of your information, or to ask about its use. We may ask for proportionate confirmation that you control the application email. We aim to acknowledge a request within five business days and complete it within 30 calendar days, subject to any applicable legal deadline. We will explain what was deleted and what must be retained, with the reason. If a deletion request would affect an active application, we will clarify whether you also want to withdraw rather than silently canceling your place. A request to withdraw continues to receive the refunds described in the application terms. Business days are Monday through Friday, excluding U.S. federal holidays. These contact options do not limit rights you have under applicable law.
We plan to restrict access to authorized people and use the security controls available through the selected providers. No online system can promise perfect security. The application is for U.S. adults aged 18 or older; it is not intended for children.
Changes to this notice
We will date updates and notify affected applicants of material changes. New uses requiring permission will be offered separately; a website edit will not retroactively authorize them. The eventual member service will have its own privacy information before confidential community or manuscript use.
